We collect what we need to reply to your enquiry, keep it inside the firm, and don't use it for marketing. If you want your information removed, send us an email and we will action it.

This policy explains how Kernel Engineering Canada Inc. ("we," "us," "our") collects, uses, discloses, and protects personal information through this website. It is written to be consistent with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy guidance.
1. What we collect
When you submit the contact form, we receive the fields you fill in. That typically includes your name, email address, phone number, city, project type, timeline, source of referral, and the details of your project. If you choose to attach files, we receive those as well. If you email us or call us directly, we receive whatever you choose to send.
The website itself does not collect personally identifying information from passive browsing. Standard server logs (IP address, time, page requested, browser type) are kept by our hosting provider for short periods for operational, security, and abuse-prevention purposes.
2. Why we collect it
We use the information you submit only for the following purposes:
- To respond to your enquiry and prepare a written quote;
- To schedule a site visit or call where one is needed;
- If the project moves forward, to deliver the engineering services;
- To meet professional and legal record-retention obligations;
- To prevent and investigate abuse of the contact form (e.g. spam, automated submissions).
We do not use your information for marketing or for analytics profiles, and we do not sell, rent, or trade it.
3. How it is handled
Submissions are processed by a serverless function running on Vercel and sent to the firm's mailbox using Gmail SMTP (Google Workspace) over an authenticated, encrypted (TLS) connection. The website is served from Vercel's edge network. Files attached to a submission travel through the same providers and are stored in the firm's email mailbox.
These third-party providers (Vercel Inc. and Google LLC) act as data processors on our behalf. Their data centres may be located outside Canada, and your information may be processed in those jurisdictions. Both providers are bound by their own published privacy and security commitments and by the contractual terms we have in place with them.
4. Confirmation emails
When you submit the contact form, an automated confirmation email is sent to the address you provided. The confirmation contains the project type, timeline, and city you selected, and a summary of what happens next. The confirmation address is used only to reply to your enquiry; we do not add it to any marketing list.
5. Cookies and analytics
This site does not set marketing or advertising cookies. It does not use Google Analytics, Meta Pixel, or any cross-site tracker. The only third-party requests the site makes are to Google Fonts (to render the Manrope typeface); Google may receive your IP address as part of that request. If you want to avoid this, use a browser plug-in that blocks third-party requests.
6. How long we keep it
Quote enquiries that do not lead to a paid engagement are typically purged from the active mailbox within twenty-four (24) months. Project files where an engagement was entered into are retained for as long as professional engineering retention rules in Ontario require — typically six (6) years after project closeout — and may be kept longer where regulatory, insurance, or audit considerations apply.
7. Security
We protect personal information using reasonable physical, technical, and administrative safeguards, including encryption in transit (HTTPS), authenticated mail transport (TLS), strict-transport-security on the website, server-side validation and size limits on submissions, and access controls on the mailbox. No method of transmission or storage is perfectly secure; we will inform you, and any regulator that requires it, in the event of a breach affecting your personal information.
8. Your rights
Subject to applicable law, you may:
- Ask us what personal information we hold about you;
- Ask us to correct information that is inaccurate or incomplete;
- Ask us to delete information, subject to our professional retention duties;
- Withdraw a previously granted consent (we may not be able to continue providing services where the information is required to do so).
Send these requests to fadhel@kernelengineering.com. We will respond within ten (10) business days, or sooner where required by law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
9. Children
The website is intended for adult business users and we do not knowingly collect personal information from children under 13.
10. Changes to this policy
We may update this policy from time to time. Material changes will be flagged at the top of this page with a revised "last updated" date. Continued use of the website after a change indicates acceptance of the updated policy.
